How to use the Single Staff Timesheet insight

View one staff member’s time over any period on the Insights page and in Excel, including multi-year history for training and development reporting.

Use Insights → Timesheets → Single Staff Timesheet when you need one person’s time across a long period (including several years). The page and Excel export stay on that person. For all-staff line detail in a short window, use Detailed Timesheet instead.

Open the report

  1. Open Insights.

  2. Under Timesheets, open Single Staff Timesheet.

Set the filters

Choose a date range, team, one staff member and whether to exclude contractors. These filters match Detailed Timesheet.

The report defaults to the current calendar year, not the current week. Change the dates when you need a different window, including multi-year ranges.

If no staff match the filters, Drum shows that on the page. Pick a different team or turn off exclude contractors, then try again.

Read the totals

For the selected person and period, the cards show:

  • Total Payable Hours

  • Project Time, Opportunity Time, Overhead Time and Leave Time

  • One card for each time credit type in the period

Hours include unbillable time (duration plus unbillable duration), the same way a staff timesheet does. Time credit entries show as negative hours and reduce the payable total.

Use Summary by Category

Summary by Category groups the person’s time by project, opportunity, overhead, leave type or time credit type. Each row shows the name, first and last entry dates, entry count, hours and amount.

Use this table when you need a long-period answer such as how much training or development time someone recorded across projects. A long history can list many categories, so the table scrolls in its own area.

Browse Time Entries

Time Entries lists individual entries for the period, 20 per page. You can sort by date, description and total. The Time column is not sortable, because page hours include unbillable time and net time credits.

Export to Excel

  1. Set the filters and staff member.

  2. Select Export Excel.

The download has two sheets:

  • Summary: totals and the category table

  • Time Entries: every entry in the period, with a filter and a fixed header row

Unlike Detailed Timesheet, this export is not limited to under 60 days, because it covers one person only.

How this differs from Detailed Timesheet

  • Single Staff Timesheet: one person, any date range (including multi-year), on the page and in Excel. Defaults to the current calendar year.

  • Detailed Timesheet: mixes all matching staff. Excel export only allows a date range shorter than 60 days.

Access

You need Insights Staff access. If Timesheets is missing from Insights, ask an administrator to check your permissions.
