How to edit a time entry

Correct a saved time entry, adjust calendar times or copy an entry, with the relevant saving and access rules.

Edit a saved entry to correct its duration, description or allocation. First, open the correct timesheet and check the staff member and week.

You need permission to edit the entry. Finalised or approved timesheets may be locked, and billed entries may have additional restrictions. Viewing another person’s timesheet does not automatically give you editing access.

Edit an entry in List View

  1. Select List View and find the project and task. Use Search your timesheet if needed.

  2. Select the task name or its expand arrow to show the recorded entries.

  3. Select the saved duration beneath the task for the required day. This opens Edit time. The task’s summary cell is used to add time, so select the individual entry when correcting existing time.

  4. Check the date, project and task shown in the editor, then make your changes.

  5. Select Save Time.

  6. Check the updated entry and daily and weekly totals. Reopen the entry if you need to confirm its details.

Expanded rows can group entries that share a description across days. Use the duration on the specific day to edit one entry. Editing a shared description directly in the row updates the grouped entries and saves automatically after a short pause; it is separate from the Save Time action in the entry editor.

Edit an entry in Calendar View

  1. Select Calendar View and locate the entry on the correct day. Entries with a start time appear as blocks in the time grid; entries without a start time appear above it.

  2. Select the entry to open Edit time.

  3. For a timed entry, adjust Start Time, End Time or Duration as needed. Review all three values after changing one.

  4. Update any other details, then select Save Time.

  5. Check the block’s position, duration and daily total.

Details you can change

The fields available depend on the entry and your permissions:

  • Duration: use hours and minutes, such as 01:30 for 90 minutes.

  • Description: describe the work clearly. Your account may require a note.

  • Project / overhead and Task: correct the allocation if these selectors are available.

  • Role: check the selected role if you worked in a different capacity.

  • Unbillable Duration or consumables: review these when shown and relevant to the correction.

Move, resize or copy a calendar entry

For editable calendar entries on desktop:

  • Resize: drag the top or bottom edge to change the time range and duration.

  • Move: drag the block to another time on the same day. A normal drag does not copy it to another day.

  • Copy: open the entry, select Copy, then select the destination time slot. This creates a separate entry. Press Escape to cancel copy mode.

Calendar drag and copy actions save when completed; they do not use the editor’s Save Time button. Check the result and totals afterwards to avoid recording time twice.

If you cannot edit

Check the week, staff member and timesheet status. If the entry is locked or a field is unavailable, ask an authorised approver or Drum administrator to review the restriction. Do not assume you can reopen an approved week yourself.

Remove an incorrect entry

In List View, expand the task to show its entries. Use the delete control for the individual entry and check the confirmation before proceeding. Deleting a time entry is permanent. Check the daily and weekly totals afterwards.

If deletion is unavailable, ask an authorised administrator to review the entry’s status and your permissions.
