How to Add Time to a Project Task

Step-by-step guide to adding time against a project task in Drum-updated for the new timesheet UI. Covers the list/grid view and the new optional calendar view, including drag-to-add time entries.

Overview

Recording your time in Drum links your hours to the right project and task. When you log time correctly, it helps your team track progress, manage budgets, and ensure your work is counted accurately. With the updated UI, you can now add time in two ways: using the standard list/grid view (same as before, with a few layout changes) or using the new optional Calendar View. This guide covers both.

📌 Note: This article has been updated to reflect the new Drum Timesheet UI. If your account has not yet received this update, your screen may look slightly different.

  • Support staff helping a user record or understand their timesheet entries

Before You Start

📌 Note: Before you can log time, the project task must already appear as a row on your timesheet. If you have not added the task yet, see: How to Search for Project Tasks.


Steps on How to Add Time to a Project Task

This is the same approach as before, now with an updated layout. Tasks are grouped by project in the new UI.

Step 1: Go to your timesheet.

Click Time in the top navigation bar. Your timesheet opens on the current week

Step 2: Find the task row you want to log time against.

Tasks are now grouped by project. Look for the project name header, then find the task row beneath it.

🆕 New in this update: In the new UI, tasks for the same project appear grouped together. You can also click a day chip at the top to filter by a specific day if you have many tasks.

Step 3: Hover over the day cell for that task.

Move your mouse over the cell for the day you worked. A green + Add Time button will appear.

Step 4: Click + Add Time.

A form will pop up. Fill in the following fields:

Duration

Time in HH:MM format. For example: 1:30 for one hour and thirty minutes. Do not use decimals like 1.5.

Description

A short note about what you worked on. For example: Reviewed structural drawings or Client call — discussed revisions.

Role (if shown)

Your role is set automatically. Only change this if you worked in a different capacity on this task.

⚠️ Important: Do not enter time as a decimal (e.g. 1.5). Always use HH:MM format. 90 minutes = 1:30, not 1.5 or 00:90.

Step 5: Click Save Time.

Your time has been saved. Drum automatically updates your daily and weekly totals. No further action is needed.

💡 Tip:

You can add more than one time entry to the same task on the same day. Just click the cell again and repeat the steps. Each entry is recorded separately and totals are combined automatically.


Calendar View (Optional, New)

🆕 New in this update: The Calendar View is a new optional way to interact with your timesheet. It shows your week as a visual calendar grid where you can drag tasks into time slots.

To switch to Calendar View, click the Calendar View toggle at the top of the timesheet page. You can switch back to list/grid view at any time.


Steps on How to Add Time Using Calendar View

1: Switch to Calendar View using the toggle at the top of the timesheet.

2: Click and drag on a time slot on the day you worked.

A search field will appear. Type the project name to find it. Select the project and task, then click Save Time.

Step 3: Adjust the time block if needed.

Once a time entry appears as a block on the calendar, you can drag the edges to extend or shorten it.

Step 4: Drag to duplicate across days (optional).

If you worked on the same task on multiple days, you can drag an existing block to another day on the calendar. This copies the entry, saving you from re-entering the same details.

Step 5: Use Drum's resourcing suggestions (if applicable).

If your account uses the Resourcing feature, Drum may suggest tasks you've been allocated to. These appear in the calendar view and can be dragged directly into your timesheet.

💡 Tip:

The calendar view and the list view show the same data. Entries added in one view appear in the other. Use whichever view works best for you.

The calendar view is especially useful if you work across many projects in a day and want a visual overview of how your time was split.

Helpful Tips

💡 Tip # 1: Log your time at the end of each day rather than saving it all for the end of the week. This helps you remember what you worked on.

💡 Tip # 2: Always check you're on the correct week before adding time. Use the week navigation arrows at the top of the timesheet.
