How to add time to a project task

Record project time in List View or Calendar View and check the saved entry and totals.

Record time against the project task you worked on. You can use either List View or Calendar View; both show the same saved entries.

Before starting, open your timesheet and check the staff member and week. You need permission to add time, and the timesheet must be editable.

Your account may require a description for each time entry. Use a short note such as “Reviewed structural drawings” to make the work clear.

Add time in List View

  1. Select List View, then find the project and task. Use Search your timesheet to find a row already shown.

  2. If the task is missing, search by project name or number in the bottom search field, select the project, then select the task. For a project already shown, use Add a task… beside its name.

  3. Select the cell for the task and the day you worked. The Add Time control appears when you point to the cell.

  4. Enter the Duration in hours and minutes, such as 01:30. Add a description of the work. Check any other fields shown, such as Unbillable Duration, a role selector or consumables.

  5. Select Save Time.

  6. Check that the entry appears on the correct task and day, and that the daily and weekly totals reflect it.

When selecting a task, type in the task selector to narrow the list or scroll through the available tasks. Select the required task to add its row. You can select another task from the same project afterwards; adding a task row does not itself record time.

You can record separate entries for the same task on the same day. Select Add Time again to add another entry; select an existing entry when you want to change it.

Add time in Calendar View

  1. Select Calendar View and check the week.

  2. Select an empty time slot, or drag from the start to the end of the period you worked, to open Add Time Entry.

  3. Check the date, Start Time, End Time and Duration. Adjust the times if needed and review the resulting duration.

  4. Select Project, search for the project and select it, then choose the Task. The task does not need to be added to List View first.

  5. Enter a description and check any additional fields shown.

  6. Select Save Time, then check the saved block and daily total.

Select Cancel to close the form without creating an entry. If you need to adjust or copy a saved calendar block, see How to edit a time entry.

Enter hours and minutes

Use the duration field’s hours-and-minutes format. These examples include a leading zero for clarity.

Use 01:30 for 90 minutes, rather than decimal hours such as 1.5. Check the displayed value before saving.

If you cannot save time

  • Missing project or task: check your search and ask your project manager or Drum administrator about access.

  • Save Time is unavailable: complete the required project, task and time fields, then check any validation message.

  • Finalised or approved timesheet: editing may be restricted. Ask an authorised approver or administrator to help.

Saving an entry records the time. It does not replace your organisation’s timesheet finalisation or approval process.
