Overview

Recording your time in Drum is how your hours get linked to the right project and task. When you log time correctly, it helps your team track progress, manage budgets, and make sure your work is counted accurately.

This guide walks you through every step of logging time on a task, from clicking the right cell on your timesheet to filling in the form to seeing your hours saved.

Who is this for?

β€’ Team members who need to log time worked on a project task

β€’ Support staff helping a user record or understand their timesheet entries

πŸ“Œ Note: Before you can log time, the project task must already be showing as a row on your timesheet. If you have not added the task yet, see Article 2: Searching for Project Tasks to Add to the Timesheet.

Step-by-Step: How to Log Time on a Task

Step 1:

Go to your timesheet by clicking "Time" in the top navigation bar.

Step 2:

Find the task row on your timesheet that you want to log time against. Each task you have added appears as its own row, labelled with the project name and task name.

Step 3:

Move your mouse over the cell for the day you worked on that task. A green + Add Time button will appear inside the cell.

Step 4.

Click + Add Time. A form will pop up on your screen where you can enter the details for this time entry.

Step 5:

In the Duration field, type the amount of time you spent on the task.

Time must be entered in Hours: Minutes format (HH:MM). See the duration guide below if you are unsure.

How to enter the duration correctly

Drum uses an Hours: Minutes format for all time entries. Here are some examples to help you enter the right amount:

Time you want to log

Type this in the Duration field

Do NOT enter this

30 minutes

0:30

0.5 or 00:30

1 hour

1:00

1.0

1 hour 30 minutes

1:30

1.5 or 00:90

2 hours

2:00

2.0

⚠️ Important: Do not enter time as a decimal number (like 1.5) and do not put more than 59 in the minutes part. For example, 90 minutes should be entered as 1:30, not 1.5 or 00:90.

Step 6:

In the Description field, type a short note about what you worked on.

A clear description makes it easier to review and approve your timesheet later.

For example: "Reviewed structural drawings" or "Client call β€” discussed revisions".

Some Drum accounts may enforce description requirements for each time entry.

Step 7:

If you see a Role dropdown, check that the correct role is selected.

Drum automatically sets your default role. You only need to change this if you worked in a different capacity on this task. Not all users will see this option.

πŸ’‘ Tip: Not sure which role to select? Leave it on the default. You can always edit the entry later if needed. See Article 4: Editing Time Against a Project Task.

Step 8:

Click the Save Time button at the bottom of the form to save your entry.

βœ… Your time has been saved. Drum will automatically update the total hours shown for that day and for the whole week. You do not need to do anything else.

Important Note: Logging More Than One Time Entry on the Same Day

You can add more than one time entry to the same task on the same day. This is useful if you work on the same task at different times during the day and want to keep each session as a separate record.

Simply click the day cell for that task again and follow the same steps. Each click adds a new, separate entry. All entries are added together in the daily and weekly totals.

πŸ’‘ Tip: You do not need to combine your hours into one entry. Logging them separately makes it easier to track how you spent your day.

Helpful Tips

πŸ’‘ Tip #1: Log your time at the end of each day rather than saving it all for the end of the week. This helps you remember what you worked on and keeps your timesheet accurate.

πŸ’‘ Tip #2: Make sure you are on the correct week before adding time. Check the date shown at the top of your timesheet. Use Previous Week or Next Week to navigate if needed.

πŸ“Œ Note: If you made a mistake, you can edit or delete a time entry at any time. See Article 4: Editing Time Against a Project Task or Article 5: Deleting Time Against a Project Task.
