Review and approve timesheets

Review finalised staff timesheets, approve or reject with an optional note, see how staff get that feedback, and correct a rejected week in Draft.

Written by Ben Walker

Review staff time before approving or rejecting a week. You need timesheet visibility and approval permissions; viewing a timesheet does not automatically give you authority to approve or reject it.

Before you begin

The staff member should check their entries and change the completed week from Draft to Finalised. Finalisation triggers the rules configured for your account. See Configure timesheet approvals for setup and notification checks.

Review and approve

  1. Select Time → Staff and open the staff member’s timesheet, or open the request from Approvals on the dashboard.

  2. Check the staff member and week.

  3. Review the hours, descriptions and allocations. Check daily and weekly totals.

  4. If corrections are needed, arrange them with the staff member or an authorised administrator. Finalised, approved or invoiced entries may restrict editing.

  5. Optional: on the Approval Required banner, select + Add a note (optional) and type feedback for the staff member. The note sits above the Reject and Approve buttons.

  6. When the timesheet is ready and you have authority, select Approve. Your note is saved with the approval.

  7. Check the resulting status and recorded approval details.

Reject a timesheet

Use Reject when the week needs changes. Reject sits beside Approve, below the optional note. When the note has text, the Reject label becomes Reject with Note. The same shared approval panel layout is used for costs, purchase orders, expense claims, progress claims, write-offs and invoices.

  1. Open the finalised timesheet that shows the Approval Required banner.

  2. Optional: select + Add a note (optional) and type your feedback (for example, which day or allocation needs fixing). With text in the note, the button label reads Reject with Note.

  3. Select Reject (or Reject with Note).

Reject saves the note with the rejection. Approve and Reject both persist the note from that field.

After a successful reject, the timesheet moves back to Draft and is unlocked. The staff member can correct the week and select Finalised again, which creates a new approval request.

What the staff member sees

  • On the timesheet: the resolved banner shows Approved or Rejected, who acted, when, and your note when you left one. After a rejection the week is Draft again, so they can edit and finalise.

  • In-app notification: they get an approval response notification. When a note is present, the message includes it (shortened to 140 characters if needed).

  • By email: they get an approval response email. When a note is present, the email includes it under Note.

Troubleshooting

  • Missing person or request: check your team access, permissions and selected week.

  • No request appears: check that the week is Finalised and the relevant approval rule is configured.

  • Approver unavailable: an authorised backup can act if override permissions are configured.

  • No notification: check notification settings, approver assignment and email folders.

  • Note not saved: type the note, then select Approve or Reject / Reject with Note. The note is saved with that action.

  • Cannot edit after reject: a rejected timesheet should be Draft and unlocked. Refresh the page, then correct entries and select Finalised to request approval again.
