Rate Cards: Roles, Rates & Time Entry Rules

A quick-reference guide to where each rate card setting comes from, and where to change it.

Project's Rate Card

Assigned per project; defaults to your account's default rate card (e.g. “Standard Rates”) until changed

Matched automatically to the team member's default billable role against the project's assigned rate card

Time tab → select entries → Update to Latest Billable Rate

Project Rate Card

  • Where does it come from? Every project is assigned a rate card, which determines the billable rate applied to time logged on that project.

  • What happens if no specific rate card is assigned? It uses your account's default rate card (e.g. “Standard Rates”).

  • Where can it be changed? Open the project and select a different rate card.

Billable Rate

  • Where is it defined? On the rate card itself, under Settings → Fundamental Data → Rate Cards.

  • Is it set per billable role? Yes one billable rate is set for each billable role in your account (e.g. Administration, Director, Junior Staff, Senior Staff).

Time Entry Rate

  • How does Drum select it? Drum matches the team member's default billable role against the rate card assigned to the project they logged time on, and applies that role's rate automatically nobody needs to select a rate when logging time.

  • Can the user manually select a rate? No the rate is not editable per individual time entry. To change it, update the rate on the rate card itself, or bulk-update the affected time entries (see Historic Time Entries below).

Historic Time Entries

  • Does changing the Rate Card change historic entries? No. Historic time entries keep the rate that applied when they were logged Drum treats them as accurate for that point in time and never changes them automatically.

  • How can historic entries be updated? From the project's Time tab: select the entries you want to update, check “Update to latest billable rate,” then click Update Selected Times and confirm.
