This guide walks through setting up milestone types, adding milestones to a project, moving them, marking them achieved and tidying them up. For what milestones are and how they differ from deliverable dates and billing, see What milestones are and when to use them.
To set up milestone types you need the Template Customisation permission. To add and change milestones you need to be able to edit the project, or have Resourcing Edit on your account role or project role.
Set up milestone types
You need at least one milestone type before anyone can add milestones.
Go to Settings → Fundamental Data → Milestone Types.
Click Create A Milestone Type.
Enter a Name, for example Council approval or Client review, and pick a Colour.
Click Save Milestone Type.
If a project shows No milestone types have been set up yet., the Set up milestone types link takes you straight to this page. If you don't have access, you'll see a message asking you to check with an administrator.
Add a milestone from the project page
Open the project. In Key Details, find Programme.
Click Add Milestone.
Choose a Milestone Type, enter a Name and set the Planned date.
If you like, link it to a Deliverable and add a Note.
Click Save Milestone.
Add a milestone from the Resourcing tab
Open the project's Resourcing tab.
On the Milestones row at the top of the timeline, click the date you want. The New milestone popup opens with that date as the Planned date.
Choose a Type. The Name fills in with the type's name, so change it if you want something more specific, like Practical completion.
If you like, pick a Deliverable and add a Note.
Click Create.
Move a milestone
On the Resourcing tab:
Drag the milestone along the Milestones row to its new date.
The Move milestone popup shows the old and new dates. Add a Note (optional) to explain the change, for example "Client review pushed back a week".
Click Confirm.
You can also change the Planned date by clicking the milestone (on the Resourcing tab) or its name (under Programme) and saving.
Achieved milestones can't be moved, because their planned date is locked. Reopen the milestone first if the plan needs to change.
Move linked milestones with a deliverable
When you move a deliverable on the Resourcing timeline and keep its length the same, Drum offers to bring its linked milestones along.
Drag the deliverable to its new dates, or click it and change its Start date and End date by the same number of days.
Tick Also move linked milestones. The label shows how many milestones will move and by how many days, for example Also move 2 linked milestones by +7 days.
Click Confirm.
Only open milestones move. Achieved milestones stay where they are. If you change the deliverable's length (extend or shorten it), the option doesn't appear and linked milestones keep their dates.
Mark a milestone as achieved
Under Programme on the project page:
Click Achieve next to the milestone. The milestone opens with today's date in Actual date.
Change the date if it happened on a different day.
Click Save Milestone.
On the Resourcing tab, click the milestone, click Achieve, check the Actual date and click Save.
The milestone now shows as Achieved and its planned date is locked.
Reopen an achieved milestone
Under Programme, click Reopen next to the milestone and confirm. On the Resourcing tab, click the milestone and click Reopen.
Reopening clears the actual date, so you can change the planned date again.
Check a milestone's history
On the Resourcing tab, click the milestone. The History section lists each date change, achieve and reopen, with who made it and any note they added.
Delete a milestone
Under Programme: click Delete next to the milestone and confirm.
On the Resourcing tab: click the milestone, click Delete, then click Confirm delete? straight away.
Delete or restore a milestone type
Go to Settings → Fundamental Data → Milestone Types and open the type.
Click Delete This Milestone Type and confirm.
To bring it back, click View Deleted Milestone Types, click Restore Milestone Type next to the type and confirm.
