How to set up a proposal budget

Build deliverables and tasks, set prices and sync an opportunity’s proposal with its budget.

Build the deliverables, tasks and estimated costs for an opportunity from its proposal. You need an existing opportunity and permission to create or edit proposals.

Open the proposal budget

  1. Open Opportunities and select the opportunity.

  2. Open Proposals, then select an existing proposal. To create one, select Add Proposal, choose a template and select Save.

  3. Open the proposal’s Project Budget tab.

Add deliverables and tasks

  1. Review any deliverables and tasks already supplied by the template.

  2. Select Add Deliverable. Choose a project template and the deliverables you need, or leave the template blank to add an empty deliverable.

  3. Select Add Deliverable to Budget, then give the deliverable a clear name.

  4. Under the deliverable, select Add Task. Enter the task name and description, then repeat for the remaining work.

Set the billing method and prices

  1. Click the billing method beside each deliverable’s name. Choose Fixed Price for an agreed fee or Time And Materials for work billed on that basis. You can use both methods in one budget.

  2. Enter the task quantities, units and rates, or use resource estimates to calculate the budget. Follow Set task prices and internal budgets for the appropriate pricing method.

  3. Check the rate card shown in the sidebar. If this proposal needs different rates, set a custom rate card.

  4. Review each deliverable’s Budget, Contract and Buffer, then check the total project hours, project budget and contract value at the bottom.

Update the proposal from the budget

Sync Budget overwrites the proposal’s existing stages and line items and cannot be undone. Check that the budget contains the scope and prices you want before continuing.

  1. Return to the Proposal tab and select Sync Budget.

  2. Choose a Consolidation Method to control how the budget appears as stages and line items.

  3. Select Include non-budgeted tasks in proposal only if you want internal process items and deliverables without a budget included as zero-value lines.

  4. Select Sync Budget, then review the resulting stages, line items and totals.

The budget is ready when the scope, billing methods and prices match the work you intend to propose. Accepting an ordinary opportunity proposal does not complete the conversion: once the client has accepted it, follow How to convert a proposal into a won project.
