Where do I find approved claims ready to invoice?

Accounts path after Claim Approval: Insights Progress Claims (Month) with Approved and No Invoice, project Claims tab, Create Invoice From Claim. Planned Invoices is different.

Written by Ben Walker

After your technical team builds claims and someone sets them to Approved, Accounts still needs a place to find those claims and raise the invoice. Use the paths below. This is not the same as Insights Planned Invoices.

Not Insights Planned Invoices

Insights → Finances → Planned Invoices is your scheduled revenue plan (planned dates and amounts on projects). It is not a queue of approved progress claims waiting for an invoice.

Best place for Accounts: Progress Claims (Month)

  1. Open Insights.

  2. Under your projects group in the sidebar, open Progress Claims (Month) (the page heading is Progress Claims Per Month).

  3. Pick the month that matches the claim issued dates you care about.

  4. Set Claim Status to Approved.

  5. Set Drum Invoice Status to No Invoice.

That list is approved claims that do not yet have a Drum invoice. Open a claim name to go to the claim, then use Create Invoice From Claim.

You need an Insights permission that can open project Insights reports (for example Business Insights). See Drum Permissions.

On a known project

Open the project → Claims tab. Open the approved claim. If it has no invoice yet, Create Invoice From Claim sits below the claim table (you need permission to update the claim and to create invoices).

Approve and invoice in one step

If the claim is still Draft or Submitted, someone with the right access can use Approve & Convert (approve + Drum draft invoice) or Approve & Integrate (approve, create invoice, and push to finance) on the claim. That needs progress claim approval rights plus invoice create (and integrate rights for Approve & Integrate). Approving alone does not create an invoice.

Home Approvals is pending only

The Home approvals list shows pending approval requests. Once a claim is already Approved, it will not sit there waiting for invoice. Use Progress Claims (Month) or the project Claims tab instead.
