How to release rejected or held progress claims for the next claim

Filter Rejected claims in Insights Progress Claims Per Month, then delete or unallocate one by one. Or monitor Unbilled on the Projects Dashboard when you will not clear every unused claim.

Use this when rejected or held progress claims still have time and costs on them, and you need those billables free so they can go on the next claim.

Find claims in Insights

Open Insights, then Progress Claims Per Month. Filter by month and set Claim Status to Rejected (add other filters if you need them). The table is a report: filter, search, paginate, and export to Excel. You cannot multi-select rows there, and permissions do not add a bulk delete.

Open each claim from the claim name link, then release it one by one.

What Reject does

When someone sets a claim to Rejected, they are saying it is not being invoiced this month. Rejected claims do not keep billable time or costs locked away from a later claim the way Draft or Submitted claims do. Reject is the "hold until next month" signal. You still delete or un-allocate if you want the claim cleared or the inclusions removed from that claim record.

Release billables on a claim

Pick one path per claim:

Delete the claim

  1. Confirm you have Delete Progress Claims (account role, or the matching project-role delete permission). See Drum Permissions.

  2. Open the progress claim.

  3. Choose Delete Claim. Drum removes the claim and its inclusions, so those time and cost entries are free for a new claim.

Un-allocate on a Rejected claim

  1. Open a Rejected (or Draft) claim.

  2. Use Unallocate all billables (or remove inclusions one at a time).

That clears inclusions and keeps the claim record. Submitted and Approved claims lock financials, so un-allocate there only works with an admin or Super Finance override. Reject first if you need to clear a submitted claim.

When you mainly need to watch unbilled amounts

Monthly delete (or un-allocate) of claims you will not invoice works well when each project owner can make an invoice-or-not call. On a high job count, some people will not clear every unused claim one by one. In that case you can still monitor what is outstanding from the Projects Dashboard, without deleting every draft or rejected claim first.

  1. Open Projects (the Projects Dashboard).

  2. Use the Unbilled column (sort by Unbilled Costs if you want the largest balances first). Filter by status, team, or primary role so you only see the jobs you own.

  3. Open a job when you are ready to invoice, then raise or refresh a progress claim as usual.

Unbilled on the Projects Dashboard is billable time and costs that are not yet billed on an invoice. The same idea appears as Unbilled Costs on the project financial snapshot, and as Unbilled Time / Unbilled Costs on the project Insights tab.

Monitoring unbilled does not replace release when a Draft or Submitted claim still holds those billables. Those statuses keep time and costs locked away from a later claim until you delete the claim or un-allocate. Rejected claims do not lock billables the same way (see What Reject does above).

The two patterns can run together: some owners delete unused claims each month; others watch Unbilled on the dashboard and only open jobs they plan to invoice. There is still no multi-select bulk delete in Insights.

After billables are free

Create or refresh the next period's draft progress claim on the job, then allocate the released time and costs as usual. For the full claim flow, see Tutorial: Creating & Managing Progress Claims.
