How to import leave from Xero

Turn on leave import, match staff and leave types, then use Sync Leave Now or wait for the six-hourly import.

Import approved leave from Xero Payroll into Drum timesheets and the calendar. This is available for Australian and New Zealand Xero organisations with payroll access.

Before you begin

  • Drum is connected to the correct Xero organisation, with payroll access authorised.

  • You can open Settings → Features, Settings → Leave Types and Xero Staff Matching.

Turn on leave import

  1. Open Settings → Features.

  2. Select the Finance category.

  3. Turn on Import approved leave requests from finance integration.

Turning the feature on queues a leave import for your account when payroll is available.

Match staff to Xero employees

  1. Open Xero Staff Matching.

  2. For each person who should receive leave from Xero, choose their Xero employee profile.

  3. Save the match. Leave only imports for staff who have a Xero employee id on their Drum row.

Map leave types

  1. Open Settings → Leave Types.

  2. Select Sync Leave Types so Drum leave types pick up the matching Xero leave type ids.

  3. Turn on Show on Timesheets for types staff may also enter by hand (useful while import catches up, and for past leave that does not auto-import).

Run Sync Leave Now

  1. Open Xero Staff Matching.

  2. Select Sync Leave Now.

  3. Wait a minute or two, then open the staff timesheet for the week you expect leave on.

Drum also runs leave import about every six hours when the feature is on. Manual syncs have about a five-minute cooldown so repeated clicks do not stack against Xero rate limits. If a sync is already running, Drum tells you leave will appear shortly.

What imports (and what does not)

  • Imports: eligible approved leave that starts today or later (including future-dated leave). Australian payroll uses Scheduled or Processed periods; New Zealand payroll uses Approved or Completed periods.

  • Does not import automatically: leave whose start date is before today. Enter past days on the timesheet yourself, or ask Drum support about a one-off historical load.

  • Use the leave list in Xero Payroll (for example a fortnight view) to see which approved leave should exist, then confirm the matching week in Drum.
