How to export a Time & Cost Summary Report

Export PDF Report options for invoices and progress claims: time grouping by role, Display deliverables, Display tasks, and other display controls.

Use Export PDF Report on an invoice or progress claim to build a Time & Cost Summary Report for the time and costs allocated to that invoice or claim. You can download the PDF or attach it as a document.

Open the export options

On an invoice or progress claim, open Export PDF Report. Choose whether to include tracked time, allocated costs, or both, then set the display and grouping options below.

Time grouping

Under Time Grouping Rule, pick how tracked time rows are combined:

  • Individual entries — one row per time entry.

  • Group by role per day — combine entries for the same role (and rate) on the same day, for the same task.

  • Group by role for period — combine entries for the same role (and rate) across the whole report period, for the same task. The date column is hidden for this option.

Role grouping still collapses by role and rate. Each grouped row stays on one task, so time from different tasks in the same deliverable stays on separate rows. Grouped reports can therefore show more rows than before. If Display tasks is off, two of those rows can look the same because only the task differs.

Display deliverables

Tick Display deliverables to add a Deliverable column on time and cost rows. That column shows the deliverable for each row.

Display tasks

Tick Display tasks to add a Task column after the Deliverable column on the time table and the cost table (including totals rows). The task name comes from the time or cost’s task.

You can turn on Deliverable, Task, both, or neither. The PDF uses landscape when Display deliverables or Display tasks is on, so the wider table fits. The same options apply when you attach the PDF as a document and when you open View PDF Version.

Display tasks on the PDF is separate from where task names show on allocate screens. Claim inclusions still have no Allocated To column or toggle — see Where task names show when allocating time to claims and invoices.

Other display options

  • Include billable rates and amounts — show rates and money columns.

  • Display descriptions — show time notes and cost descriptions where they exist.

  • Display durations — show hours on time rows.

  • Show claim period dates — on claim-linked reports, show the claim period start and end.

  • Included Deliverables In Report — optionally limit which deliverables appear.

Project Time tab PDF

The project Time tab export window also has Display tasks and Display deliverables. On the detailed project time report, Task sits after Deliverable. The summary report can already group by task, so the Task column is only on the detailed report. The detailed PDF goes landscape when Deliverable or Task shows. Rows moved to a project you cannot see show “Moved to another project” in those columns, the same as for Deliverable.
