If a project invoice will not push to Xero

Troubleshoot a project invoice that will not create or update in Xero: find the transient push error, refresh the connection, fix the invoice-to Xero Contact, and retry.

Use this when Drum will not create or update the linked Xero invoice at the final integrate step. Work through the checks in order.

Find the exact error

Open Edit Invoice (or the invoice created from a progress claim). A failed push often leaves the form looking quiet:

  • Xero Status may show Not Integrated with Xero (or similar).

  • There is often no lasting red error on the form after the push failed.

  • The invoice number can stay blank until Xero accepts the invoice. A blank number by itself is not the error text.

The useful message usually appears as a short-lived banner or toast when you change Xero Status to the finance status that creates or updates the Xero invoice. Capture that red message straight away (screenshot or copy the wording). Support needs that exact Contact or Invoice validation text more than a general “it won’t push”.

Check the Xero connection

  1. Open your profile menu and go to Integrations.

  2. Confirm Drum still shows the correct Xero organisation.

  3. If the connection looks expired, or finance actions fail for everyone, reconnect Xero (remove and connect again, or re-authorise when prompted).

Check the invoice-to company and Xero contact

Xero needs a valid Contact for the company you are invoicing. Do this before you retry the push.

  1. On the project, confirm the invoice-to company is the company you mean to bill.

  2. Open that company and check it is linked to an active Xero Contact (not missing, archived or the wrong contact).

  3. If the link is wrong or empty, reassign or re-link the company to the correct Xero Contact.

Contact and validation failures often show up only when you push the invoice, not when you draft it in Drum.

Check invoice or claim readiness

  • Project invoices: set Drum Status to Approved before you choose the Xero finance status that pushes the invoice. Draft or awaiting-approval invoices are not ready to integrate.

  • Progress claims: finish and approve the claim, convert it to an invoice (or use your account’s approve-and-convert / Approve & Integrate flow), then push that invoice to Xero the same way as other project invoices.

Line items, issue date and due date should be complete. Xero can reject incomplete or restricted records.

Retry and capture the message

  1. With Drum Status already Approved, open the invoice and choose the Xero Status that creates or updates the Xero invoice.

  2. Watch for the banner or toast. Screenshot or copy any red Contact / Invoice validation message immediately.

  3. If it succeeds, open View in Xero and confirm the invoice (the invoice number should appear once Xero accepts it).

  4. If it still fails, send support the exact error text, the project, the invoice-to company, and whether the Xero Contact looks linked.
