Use Drum's Email Capture Inbox to add an email to an existing Opportunity or Project. Do not send it to the Sales Inbox, because that always creates a new Opportunity even if the email relates to something that already exists.
Sales Inbox warning
Any email sent to the Sales Inbox always creates a brand-new Opportunity, regardless of what's in the subject line. Use the Email Capture Inbox address (Steps below) whenever you want an email filed to a record that already exists.
Before You Begin
The Opportunity or Project you want to add the email to, open in Drum.
The email you want to add- you can forward an existing email or send a new one.
Add the Email
Throughout this guide, the Opportunity or Project number is referred to as the record number.
Open the record in Drum- Go to the existing Opportunity or Project that the email relates to, and open it.
Copy the correct email address- Find the "Project Email" label and click the copy icon next to it. This copies the correct Email Capture Inbox address for your account to your clipboard. Use this address rather than any general Drum sales email address you may already have saved.
Add the address to your email- In your email client, paste the copied address into the To, CC, or BCC field of the email you want to add.
Add the record number to the subject line- In the email subject line, add the record number for example: P26-345. This tells Drum exactly which record to file the email against. You do not need to add square brackets around the number.
Tip: Save the Email Capture Inbox address as a contact named "Drum Inbox" in your email client so it's quick to find next time.
Verify the Email Was Added
5.Send the email -Send it to the Email Capture Inbox address with the record number in the subject line.
6.Check the Emails tab- Go back to the Opportunity or Project in Drum and open the "Emails" tab. Your email should appear there shortly.
Your email now appears under the Emails tab of the correct Opportunity or Project, keeping all related communication together in one place with no duplicate Opportunity created.
Troubleshooting
Email not appearing in the Emails tab: confirm you sent it to the Email Capture Inbox address (not the Sales Inbox) and that the record number in the subject line is correct.
If the record number is missing or incorrect, Drum will reply to let you know it couldn't file the email. Correct the subject line and resend it.
Sent to the Sales Inbox by mistake and it created a duplicate Opportunity? Contact your Drum support contact for help resolving the duplicate.
