Add custom fields to projects for filtering and reporting

Create Select custom fields such as Project Type or State, add them to your baseline Project template with Primary field ticked, then filter and export them.

Custom fields let you capture extra project details (for example sector-style Project Type or State) and use them when filtering the Projects list, filtering Insights, and exporting to Excel.

Create the custom fields

  1. Open your profile menu and go to Settings.

  2. Under Fundamental Data, open Custom Fields.

  3. Click Create Custom Field.

  4. Choose a field type. For reporting categories such as Residential / Industrial / Commercial, or Australian states, use Select and add each option.

  5. Enter a clear field name (for example Project Type or State), then save.

You can optionally add helper text so the team fills the field consistently. Repeat for each field you need.

Add them to your baseline Project template

  1. Go to SettingsTemplatesProject Templates.

  2. Open your baseline Project template (the one most new projects use).

  3. Scroll to custom fields and choose Add Custom Field.

  4. Select the fields you created.

  5. Tick Primary field for each field you want available as a filter on Projects and Insights, and as a column on Export Excel.

  6. Save the template.

If existing projects need the new fields, use Sync to Active Projects from Settings so the fields appear on those projects too.

Set values on each project

Open a project and set the custom field values in the left-hand project details (for example Project Type = Residential, State = NSW). Do this as projects are created or when you are cleaning up reporting data.

Filter and export for reporting

  1. Open Projects.

  2. Use the filters for your primary custom fields (and any other filters you need).

  3. Review the list, or use Export Excel when you want to count or pivot the results outside Drum.

The same primary custom fields can also be used as filters in Insights reports.

"Any Project Type" is not sector type

The Projects filter labelled Any Project Type refers to project templates (the delivery structure), not categories like residential, industrial or commercial. For sector-style type, use a Select custom field as above.

Video walkthrough

The loom below shows creating fields, attaching them to a project template, syncing to active projects and filling values on a project. When you follow it for reporting fields, also tick Primary field on the template so the fields filter and export.
