Add an email to an existing opportunity or project

File an email against an existing Drum record using the Email Capture Inbox, and who can open, allocate or delete a thread.

Written by Ben Walker

Use the Email Capture Inbox to file an email against an existing opportunity or project.

Use the correct inbox: the Sales Inbox creates a new opportunity. Use the Email Capture Inbox when the record already exists.

Add the email

  1. Open the opportunity or project in Drum.

  2. Find Project Email and select its copy icon to copy your account's Email Capture Inbox address.

  3. In your email client, add the address to the To, CC or BCC field. You can forward an existing email or compose a new one.

  4. Add the opportunity or project number to the subject line, for example P26-345. Square brackets are not required.

  5. Send the email.

  6. Return to the record in Drum and open the Emails tab to check that it appears.

Save the Email Capture Inbox address as a contact in your email client if you use it regularly.

Where attachments show

On the Emails tab, an Attachments block at the top lists files from emails on that record. You can search that block by file name.

Open a thread to see the attachments on each email in the conversation.

Open, allocate or delete a thread

After an email is filed, open it from Project Emails (nav menu, Email) or from the Emails tab on the opportunity or project.

On the thread:

  • Allocate to projects (or Project Allocation on the record Emails tab) - link or unlink projects and opportunities. You can only add or remove records you can open and that your Emails right covers.

  • Delete Email (on Project Emails) - permanently removes the thread from Drum and unlinks it from every project. You can delete only when you could unlink every kept project on that thread.

You need Business Emails or Assigned Project Emails on your role. Without access, or for a thread outside your scope, Drum shows that the thread was not found. See Drum Permissions (Email & Communication).

If the email does not appear

Check that you used the Email Capture Inbox address and included the correct record number in the subject. Correct the details and resend if needed.

If you sent the email to the Sales Inbox and created a duplicate opportunity, contact Drum support for help resolving it.
