Proposal-to-project conversion reference

Conversion requirements, structure options and what happens after an accepted proposal becomes a project.

This reference describes converting an accepted opportunity proposal into a project. Variation proposals follow a different approval flow.

Status

The proposal must be Accepted. While it is Draft, the conversion control is disabled. Marking a proposal Accepted does not itself create a project.

Project template

Drum uses the selected Project Template, or your account’s default project templates when Use default templates is selected. A project template must be available.

Access

Your role must allow you to update proposals. Ask your administrator to check your proposal permissions if the conversion control is unavailable.

Location

The conversion control is below the proposal’s line items, alongside the document actions.

The conversion preview shows the structure and values that will be used for the new project.

Budget structure

The deliverables and tasks in the proposal’s Project Budget.

Deliverables, task counts, estimated hours, budget and contract value.

Proposal structure

The sections and line items on the Proposal tab.

Deliverables, task counts, quantities and budget based on the proposal line items.

These options can produce different structures and totals. The customer-facing proposal total and the Project Budget are separate values; do not assume they match. The selected preview is the reference for the project you are about to create.

What conversion changes

  • Creates a new project using the selected structure.

  • Links the project to its source proposal. The proposal lists linked projects under Associated Projects.

  • Marks the parent opportunity as won using its configured successful status.

Budget structure carries the budget’s task estimates into the project. It does not mean those hours have been scheduled into staff calendars.

After conversion

Convert again

A previously converted proposal can create another project. Its control reads Project Created From Quote. Create Another? This creates a separate project.

Source proposal

The proposal remains accessible, with its Proposal and Project Budget tabs.

Project budget

The resulting project has its own Budget tab. Edit Original Budget on a project refers to that project’s budget, not the source proposal’s budget.

Later changes

Conversion creates the project’s starting structure. Manage subsequent project changes in the project; converting again is not a way to update an existing project.
