How to update a purchase order

Edit purchase order details and draft lines, and understand the limits on approved orders.

Open an existing purchase order to update its details or finish its draft line items.

Open and edit the order

  1. Open the project, select Costs, and open the order from Purchase Orders.

  2. Click the detail you want to change at the top of the purchase order.

  3. For a draft order, update the editable line descriptions, quantities, prices, accounts and tax selections. Use Add Line Item for another line.

  4. Check the resulting totals, supplier and task allocation.

  5. When the draft is ready, use Submit to request approval, or Approve if you have permission.

The draft view provides editable line items and approval actions. Approved values are locked.

Approved purchase orders

Approved PO values are locked.

Other editable details can still be changed. For a PO linked to Xero, changes to editable details sync to the corresponding Xero purchase order. Check the linked record using View Purchase Order.

Check the result

Review the saved details and totals on the PO. If supplier costs already exist, also review Consumed against each line and the PO’s drawn and remaining amounts.
