How to configure purchase order approval flows

Route PO approval to a project role and choose any additional roles that may approve.

Configure who should approve purchase orders. Project-role routing sends approval to the users assigned that role on the project.

Before you start

Choose the project role responsible for approving POs and make sure it is assigned on the relevant projects. This example uses Project Director.

Set up project-role approval

  1. Open Settings → Approval Settings.

  2. Find Purchase orders and select Configure. Use Edit if a rule already exists.

  3. In Configure Approval Routing, check that Document Type is Purchase order.

  4. Set Approval Routing to Project Role.

  5. Choose the Project Role, such as Project Director.

  6. Under Can also be approved by (optional), select any account roles that should also be able to approve.

  7. Select Save Setting.

Check the Project Director routing and optional alternative approvers.

How additional approvers work

Optional roles can approve in place of the primary approver. They are alternative approvers, not additional sequential stages.

The choices shown are Invoice Approval, Manager, Owner/Account Admin, Staff - no finance access, and Staff - with finance access. Select the roles appropriate for your approval policy.

Check the configuration

Review the saved rule under Purchase orders and confirm the chosen project role. Check that the intended approver holds that role on each relevant project.

Other routing approaches

Direct-manager routing is another option. Project-role routing is useful for project-specific POs. Value-based approval layers are not part of this setup.
