Creating Event Triggers for Notifications in DRUM
Objective
This SOP outlines the steps to set up event triggers for notifications in the DRUM system, ensuring key team members are notified of important events.
Key Steps
Accessing Settings 0:18
Log in to your Drum account.
Click on your profile icon.
Select 'Settings' from the dropdown menu.
Creating Event Triggers 0:45
Under 'Fundamental Data', locate the 'Event Triggers' option.
Click on 'Create Trigger'.
Select 'Trigger' to begin setting up a new event.
Choosing Trigger and Action 0:50
Choose the event that will trigger the notification (e.g., 'Invoice').
Specify the event condition (e.g., 'Status change to Awaiting Approval').
Select the action to be taken (e.g., 'Send Notification').
Select Recipients & Notification Options 1:00
Choose who will receive the notification (e.g., Project Manager).
Select where the notifications should be sent, choosing one of:
In-app notification
Email
Both of the above
Click on 'Save Trigger' to finalize your event trigger setup.
Notification Behaviors 2:17
Once an action that prompts a notification has been triggered (e.g. changing the status of the invoice in the above example), the notifications will be processed in the background of Drum.
To view "in-app" notifications, check the notifications section in your nav-bar for alerts (indicated by a red dot).
Alternatively, for email notifications, you can open the email received for the notification and review the notification there.
For either of the above, you can click on the provided link to access the invoice (or project or expense claim) directly.
Cautionary Notes
Ensure that the correct roles are selected as recipients to avoid unnecessary notifications.
Test the notification system with different user accounts to confirm functionality.
