Practise the flow from an opportunity to a priced proposal, an active project and a saved time entry. You will use fictional work and finish with a project you can inspect.
Before you begin
Use a Drum Admin account and the demo opportunity Drum Demo - First Sales Opportunity. You also need Example Quote Template, containing the Planning deliverable, Project Kickoff & Requirements task and a Senior Staff resource estimate. If these are missing, ask Drum support to prepare the example data.
Use a fresh practice proposal and an editable draft timesheet. Keep the exercise separate from live client work. The rates below are fictional.
1. Open the demo opportunity
Select Opportunities and open Drum Demo - First Sales Opportunity. Find its details, deliverables and tasks. In the sidebar, set Deal Value to 15000 and save with the tick.
You should see a deal value of 15,000.00 in your account’s currency.
2. Create a practice proposal
Open Proposals → Add Proposal. Select Example Quote Template and save. Set its description to First practice workflow so you can recognise it.
3. Price a task
Open Project Budget. Under Planning → Project Kickoff & Requirements, set the Senior Staff resource estimate to 2 Hour at 400.00 per hour. Save the field changes.
The estimate should total 800.00. The overall budget also includes the template’s other tasks.
4. Copy the pricing into the proposal
Return to Proposal and select Sync Budget. Choose Single stage, converting deliverables to lines and leave Include non-budgeted tasks unticked. Confirm that you are on the practice proposal, then select Sync Budget.
The proposal’s stages and line items are replaced with the selected budget structure. Compare its total with the budget on the same tax basis.
5. Convert the practice proposal
For this fictional exercise, set the proposal’s status to Accepted. In normal work, do this only after the client agrees to proceed.
Select Convert to Project. Review the preview and use the budget structure for this exercise. Confirm the Planning deliverable and its task are present, then select Convert to Project.
Drum opens the new project. Check its Work and Budget tabs against the preview. Acceptance and conversion are separate actions.
6. Record one hour
Open your personal timesheet in List View. Search for the new practice project and select Project Kickoff & Requirements. Open a day cell, enter 1:00 and the description Practice kickoff, then select Save Time.
The entry should appear under the task, and the weekly total should increase by one hour.
Finish the exercise
You have created a priced proposal, converted it into a project and recorded time against its work. Leave the practice timesheet in Draft and ask your administrator how to remove the practice records when finished.
