Use this when a shared mailbox (for example [email protected]) was the login for someone who is leaving, and a new person needs that same address as their Drum login.
Why archive alone is not enough
Each Drum login email belongs to one user record across Drum. Archiving a member removes their access and keeps their history, but it does not free that email for a brand-new person.
If you invite the same address again without freeing it first, Drum restores the existing (archived) membership for that login. The new person would get the old login back, including its password history, not a separate clean account.
Clean path: change email, archive, then invite
While the departing person can still sign in, ask them to open their profile and change their Drum login email to something unique (for example their personal work address, or [email protected]). Admins cannot change another member’s login email from Settings → User Accounts.
In Settings → User Accounts, archive the departing member.
Invite the new person with the shared mailbox address, set their name and roles, and send the invitation as usual.
If the departing person has already left
You cannot change another member’s login email from the members screen yourself. Contact Drum support and ask us to change the departing user’s login email to another unique address (for example [email protected]).
Once that is done, archive them in Settings → User Accounts, then invite the new person on the shared mailbox address as usual.
Simpler alternative
If the new person can use their own email instead of the shared mailbox, invite them on that address and archive the departing member as usual. That keeps history cleanly separate and avoids freeing the shared login.
