Getting started with opportunities in Drum

A guided first lesson in managing a deal in Drum

Practise managing a demo opportunity in Drum. You’ll update its deal value and lead score, change a task and a deliverable status, and add a follow-up task with an owner and due date.

Time: About 10–15 minutes, once your demo data is ready.

Before you begin

  • Use a Drum Admin account for this lesson.

  • Use the demo opportunity Drum Demo - First Sales Opportunity. It must contain the Admin Quote Preparation deliverable and the seven tasks listed in step 5.

  • Check that Standard (33%) is available in the opportunity’s Lead Score list.

If the demo opportunity, tasks or lead score are missing, open the support chat in Drum and ask the team to help prepare the demo data for this lesson. Complete that setup before continuing. Use demo data rather than an active client opportunity.

If you have already practised on this record, its values and statuses may differ from the screenshots. The steps below tell you which values to set. To repeat the lesson with fresh demo data, ask the Drum team for help resetting it.

1. Open the opportunities list

In the left-hand navigation, click Opportunities.

You should see: The opportunities list. Find Drum Demo - First Sales Opportunity. Other opportunities may also appear.

2. Open the demo opportunity

Click Drum Demo - First Sales Opportunity.

You should see: The opportunity’s details on the left, deliverables and tasks in the centre, and navigation tabs along the top.

3. Set the deal value

In the sidebar, find Deal Value. Click the current amount to edit it. Replace the value with 15000, then click the blue tick to save.

You should see: A deal value of 15,000.00, displayed in your account’s currency. The editing field closes when the change is saved.

4. Select a lead score

In the sidebar, click the current Lead Score, which may read No Lead Score. Select Standard (33%) from the list and save using the tick.

You should see: Standard (33%) displayed as the lead score. You have now edited two sidebar fields: an amount and a selection from a list.

5. Find the tasks in a deliverable

Find the Admin Quote Preparation deliverable. Count the task rows beneath its heading.

You should see: These seven tasks:

  • Record all details

  • Request documentation / tests

  • Assign quotation work

  • Review / Format Quote

  • Send quote

  • Follow-Up

  • Update opportunity status on win/loss

The deliverable heading is a separate row; do not include it in the count. If these tasks are missing, return to the setup guidance above.

6. Change a task’s status

Find Record all details. Click its status badge. If it already shows In Progress, first select Not Started so you can practise the change.

You should see: The task’s badge now reads In Progress. If the list does not open, click the status badge itself, rather than the task name.

7. Change the deliverable’s status

Click the status badge beside the Admin Quote Preparation heading. If it already shows In Progress, first select Not Started.

Open the deliverable’s status list and select In Progress.

You should see: In Progress beside the deliverable heading. You have changed the status of one task and the status of the deliverable that contains it.

8. Add a follow-up task

In Admin Quote Preparation, find the plus icon at the far right of the task column headings. Click it to add a task, then enter Confirm scope with client as the task name. Save the name using the tick.

You should see: A task named Confirm scope with client with a Not Started status. If you began with the seven tasks above, the deliverable now contains eight.

9. Assign the task and set its due date

On the new task’s row, click Assigned and select yourself. Then click Due Date and select the date one week from today.

You should see: Your avatar in the Assigned column and the selected date in Due Date.

What you’ve learned

You have updated a demo opportunity and created an assigned follow-up task. You can now:

  • Find and open an opportunity.

  • Edit its deal value and select a lead score.

  • Find the tasks within a deliverable.

  • Change task and deliverable statuses.

  • Add a task, assign it and set its due date.
