Use this guide to reorganise a migrated project’s deliverables and tasks to match how you invoice your client. It also covers reassigning recorded time if you create a replacement task.
Decide how to organise the project
Choose deliverables that match the stages or services you bill, whether at milestones or monthly. If the migrated structure already suits your work and billing, no restructuring is needed.
For help choosing a structure, read How deliverables and tasks relate to invoicing in Drum.
For example, a migrated project might have one Design deliverable containing concept design and schematic design tasks. If you want to invoice those stages separately, organise them into Concept Design and Schematic Design deliverables.
Before: both design tasks sit under one Design deliverable.
Open the original budget
Open the project.
Select Budget.
Select Edit Original Budget.
This is where you edit the project’s underlying budget and contract values. Before restructuring, note the existing totals so you can check them afterwards.
Restructure deliverables and tasks
Use the changes below that your project needs. If you only need to rename a deliverable, rename it and continue to the final checks. To split work across deliverables:
Rename the existing deliverable to describe the work that will remain in it. In the example, Design becomes Schematic Design.
Select Add Deliverable. Leave the project template field blank, then select Add Deliverable to Project.
Name the new deliverable for the work you will move into it, then drag it into the position you want. In the example, the new deliverable is Concept Design.
Drag each task you want to move from its current deliverable into the intended deliverable. In the example, move the concept design task into Concept Design. Rename tasks if needed.
If the new deliverable contains an extra blank task you do not need, remove that unused task using its delete icon.
Check that each task now sits under the intended deliverable. If you need additional tasks, select Add Task. The example below shows the two design stages after restructuring.
After: each design stage has its own deliverable and task.
Check time when replacing a task
If you created a replacement task, follow these steps to reassign any time that belongs against it. If you did not replace a task, continue to the final checks.
Open the project’s Time tab.
Filter the time entries by the previous task.
Select the entries that belong against the replacement task.
In the bulk update controls, select the same project and the intended destination task.
Review the selected entries and destination, then select Update Selected Times and confirm.
Filter by the destination task and check that the entries are allocated correctly.
Check the project before invoicing
Deliverables match the stages or services you intend to bill.
Each task sits under the intended deliverable.
Budget and contract values are allocated as intended. If you only reorganised the existing work, check that the project totals still match the totals you noted earlier.
Any time you reassigned is allocated to the intended task.
Complete this review soon after migration where possible, before the project’s first invoice in Drum.
